01 Refund Eligibility
Webthropic offers refunds in specific situations as outlined below. Refunds are calculated based on work completed at the time of cancellation, not the total contract value.
02 Cancellation Within 24 Hours
If you cancel a project within 24 hours of making the initial advance payment AND before any work has commenced (i.e., no kickoff call, no design started, no resources allocated):
- 100% refund of the advance payment
- Payment gateway charges (1.5-2%) will be deducted as they are non-refundable from gateways like Razorpay
- Refund processed within 7-10 working days
03 Project Cancellation After Work Begins
Once work has commenced, refunds are calculated as follows:
- After kickoff but before design: 70% of advance refundable (30% retained for project setup, planning, team allocation)
- After design started but before approval: 40% of advance refundable
- After design approved / development started: No refund on advance; you receive all work completed
- After 50% project completion: No refund; remaining milestones are invoiced based on work done
In all cases, you retain all deliverables created up to the cancellation point.
04 Recurring Services (SEO, Ads, Maintenance)
For monthly retainer services:
- Notice Period: 30 days written notice required for cancellation
- Already Paid Months: No partial-month refunds. Services continue till the end of the paid month.
- Ad Spend: Unspent ad budget held in our account will be refunded within 14 days of cancellation
- Onboarding Fees: Non-refundable as work is already done
05 Refund Processing Timeline
- Approval: Refund requests reviewed within 5 working days
- Processing: Approved refunds initiated within 7 working days
- Bank Credit: Standard banking timeline applies (typically 5-7 working days after initiation)
- Original Payment Method: Refunds are issued to the original payment source (bank account, UPI, card)
06 Non-Refundable Items
The following are strictly non-refundable:
- Third-party costs (domain registration, hosting, premium plugins, stock images, paid ads spent)
- Payment gateway charges (1.5-3%)
- Travel expenses incurred for client meetings (if any)
- Government fees (GST, registrations, etc.)
- Custom integrations or third-party API costs
- Setup fees and onboarding charges
07 Project Pause Policy
If you need to pause a project (instead of cancelling):
- Free pause up to 30 days from initial request
- Beyond 30 days: โน5,000 reactivation fee + revised timeline
- Beyond 90 days: Project considered cancelled, balance fees forfeited
08 How to Request a Refund
To request a refund, please contact us:
- Email: info@webthropic.com with subject "Refund Request โ [Project Name]"
- Include: Invoice number, payment receipt, reason for cancellation, preferred refund mode
We will acknowledge receipt within 2 working days and process per the timeline above.
